Passenger Diary - Booking
The workshop system will hold several diaries the default being the passenger diary that is the default unless your system is using the Commercial Diary (a workshop department can only hold one or the other). The passenger diary is a continuous diary for each day.
To enter the diary, go to Workshop β Booking β Diary;
The diary has a number of headings;
Remaining
This displays the number of hours that are left free to book for each day β this is continuously calculated from the number of available hours less the load hours in the bookings for that day.
MOT
This displays the number of MOTβs remaining per day.
WUW
This displays the number of While You Wait jobs free to book for each day.
Collect
Displays the number of Collect & Delivery jobs remaining for each day.
Loan
Displays the number of Loan Car bookings remaining for each day.
Skills
You can break a technicianβs productive hours down by a skill. Each skill is set up in the workshop parameters and then each technician can have a number of their hours broken down into specific skill sets (we have set up here the headers GEN for general, DIA for diagnostics and WAR for warranty but these are user defined). In these columns you will see the number of hours allocated to that type of work left free to book for each day.
Available
This is the sum total of productive hours that are set against each technician in the Technician Details parameters.
Booked
This shows the number of hours that have been booked for that day.
Jobs
This shows a count of jobs that are booked into the workshop for that day.
To then view a breakdown of bookings then drill into the desired day and it will open the following screen.
At the top of the screen you will see an overview of all the booking stats for that day that were listed above on the previous diary screen. To the left there is the notes section β if you drill into here you can add any notes relevant to that day and this will be visible when booking for that date.
You can see a list of vehicles booked in for that date, with Time Required, Time In, Customer and Vehicle details, Job number (if the job has already been received in), Load Hours and flags as to whether the booking is for an MOT, WUW, Collect & Delivery or Loan Car.
At the bottom of the screen you have the following buttons;
Absences
This brings up a pop up to show any technicians marked as absent for that particular date
Book
This will take you to the booking screen to create a new booking for this day
Previous Day
This will take you to the previous diary day
Next Day
This will take you to the next diary day
Back
This will take you back to the main diary screen
Receive
If you single click a booking in the list and then hit this button, then it will take you to the receive job function to bring the job into the workshop.
If you double click into a booking it will take you in to give you further details;
You can see an overview of the details of the job β Customer details, Vehicle details, Hours and Time Required. Below is a list of the requirements on the job, load hours and details. From this screen you have the following option;
Cancel Booking
Use this option to cancel the booking
Amend
This button will take you into the booking screen where you can amend the details
View Parts
This button can be used to view whether parts have been pre-picked and reserved against the booking
Diary
This will return you to the main diary screen
Receive
This will receive the booking into the workshop and create a job card
Back
This will return you to the main diary screen
