The Technician details screen holds specific information applicable to individual technicians.

Select Workshop > Parameters > Technician Details > DetailsĀ  from the side menu.

The Technician Details screen consists of four sections.

Technician Details

Listed below is a breakdown of the fields contains within this section:

•Technician Name: This field contains a drop down menu listing all technicians associated with the workshop.

• Technician Number: This field allows an employee number to be linked to individual technicians.

• Apprentice: This field should only be selected where the technician in question is an apprentice. Selecting this field changes the way that Productivity is calculated. (See Time Management Calculations for further details).

• Pin: A four digit pin number can be associated to each technician to prevent accidental clocking of the wrong technician.

Productive Hours

Listed below is a breakdown of the fields contains within this section

• Productive Hours: Values entered into this field are used to calculate the number of hours available to sell within the Diary

• Attended Standard Hours: Values entered into this field are used to calculate technician’s overtime. If a technician’s actual attended hours exceed the figure in this field the difference will be written to the overtime column on the Time Analysis Report.

• MOTs: Values entered into this field are used to calculate the number of MOTs available within the Diary. This field works in conjunction with the ā€˜Sublet MOT Counts’ section held in the ā€˜Diary Counts’ tab within the Parameters section.

• Average Cost Per Hour: The Value held within this field is used to calculate the technicians cost of sale figures.Ā 

• Default Clock on Time: The technician’s standard start time should be recorded within this field. The default clock on time is used where a technician clocks onto the system early but does not clock onto a job, the system will record the attendance from the default clock on time.

• Default Clock off Time: The technician’s standard finish time should be entered into this field. The default clock off time is used where a technician does not clock off of a job or does not clock out at night, the system will use the default clock out time to stop recording worked and attended hours.

Technicians Information

These fields are not active at present.

Technicians Unavailable Dates

This section us used to record the dates when a technician is either on holiday, sick or attending a training course.

To set up a technician firstly the technician needs to have been created within ā€˜User Administration’. With that done they will be available to select from the ā€˜Technician Name’ drop down menu.


Select a technician from the drop down menu. Enter the Technician number, apprentice flag and or PIN number as required.

Within the ā€˜Productive Hours’ section double click onto the productive hours line to open the following window.

Enter the applicable productive hours per day and select accept. The ā€˜Productive Hours’ fields are now populated and the available hours in the Diary has increased.


Double click on the ā€˜Attended Standard Hours’ line to open the following window.

Enter the applicable attended standard hours per day and select accept. The ā€˜Attended Standard Hours’ fields are now populated.

Double click on the MOT line to open the following window.

Enter the required MOT count per day as required and select accept. The MOT fields are now updated and the MOT count has increase in the Diary.

Note: This field is only applicable to Technicians that carry out MOT tests. If you have already set MOT counts in the Diary Counts within your Parameters, this will increase by what is entered in this field also.Ā 

Double click on the ā€˜Average Cost per Hour’ line to open the following window. mceclip6.png

Enter the applicable average cost per hour for the chosen technician and select accept to update the ā€˜Technician Details’ screen.

Double click on the ā€˜Default Clock on/off Time’ line to open the following window.

From the drop down menus choose the technician default clock off time. Select accept to update the ā€˜Technician Details’ screen.

The Technician Details section is now complete. To remove data from the ā€˜Productive Hours’ section choose the technician from the drop down menu and select the ā€˜Delete’ button located in the bottom right hand corner of the screen. The following message will be displayed.Ā 

Select ā€˜No’ to return to the ā€˜Technician Details’ screen or select yes to remove all data for the selected technician.

To update the ā€˜Technician Unavailable Dates’ section select one of the three available tabs, either ā€˜Holidays’, ā€˜Sickness’ or ā€˜Training’.

With the tab highlighted select the ā€˜Add’ button to open the following window

Select the Ā icon next to the ā€˜Start Date’ field to open the calendar window.

Double click on the appropriate date to select it and populate the ā€˜Start Date’ field, then select the icon next to the ā€˜End Date’ field to open the calendar window.

Double click on the appropriate date to select and populate the ā€˜End Date’ field.

The duration field will be populated with the number of days selected. Select accept to updated the ā€˜Technician Unavailable Dates’ section.

Note: Half days can be selected by placing a tick in the applicable AM or PM field. To remove an entry from the ā€˜Technician Unavailable Dates’ select the appropriate tab, highlight the required entry and select the ā€˜Delete’ button within this section.

Select ā€˜Accept’ to save the changes
