It is possible to generate a composite report for export using nominal codes from the profit & loss and balance sheet. These can be created for a particular manufacturer style (AIM, MACE, ASE or VAG) and exported by period or year to date. It is worth noting that the Trial Balance also exports in CSV. Format showing both period and YTD values and may match the format required.
Creating a Composite
To create a composite within the nominal ledger, select Nominal Ledger – Reporting – Composite from the main menu.
The Composite Output Details screen appears.
Select the 'Amend' Button and then click ‘Add’ to create an additional composite. Click into the highlighted line where the report name and manufacturers BM code must be entered. The BM code will create part of the file name when the report is exported.
Once this information has been entered, select ‘Save’ at the bottom of the screen.
To attach nominal codes to the composite, double-click on the line within the ‘Composites Available’ section for the composite report required.
Select ‘Insert’ and a pop-up box will appear with the choice of inserting a single code or a range of codes.
Select ‘Range’ if a range of codes is required.
If the required nominal codes are known, they can be keyed directly into the boxes. If not, they can be browsed for using the search icon.
If individual codes within the nominal range need to be removed from the report, single click the appropriate line to highlight it and select ‘Delete’.
If individual codes need to be added, select ‘Insert’ then ‘Single’ and search for the correct code using the nominal code search screen. Double click on the code to insert it. Once all required codes have been entered, select ‘Close’.
To amend the composite at any point, double-click on the name of the report within the ‘Composites Available’ box. The options to ‘Delete’ or ‘Insert’ a code then appear. Any new codes added to the composite will appear at the bottom of the list of codes, not in nominal code order, therefore this will not move existing nominal codes down from the original cell they were created in when they are exported to ensure that mappings are still correct.
Exporting Composites
To export the composite, select the appropriate Period, Style and Values for Export (Period or YTD) using the drop-down boxes and radio buttons available at the top of the screen.
Single click on the required report to highlight it then select ‘Export Values’ or ‘Export Descriptions’ as appropriate. Export Descriptions will create a .csv file containing the nominal codes and descriptions as they appear in the composite. Export Values creates a .csv file containing the nominal codes and values only in the style and report as requested, i.e.; AIM, MACE, VAG or ASE for a single period or also YTD.
To save the file, click on the blue ‘Click Here to Download’ in the download box. Select save and specify a location to save the file to.
This will now need to be mapped to the manufacturer’s composite format and then uploaded into the relevant website or emailed to them.
