The purpose of Dictionary is to provide specific fixed content descriptions that can be utilised
during the booking, receipting, amend job and invoicing processes.
Select Workshop > Parameters > Dictionary from the side menu.
To create a ‘Dictionary’ entry select the ‘Add’ button.
The ‘Dictionary Maintenance’ screen contains fifteen fields.
• Code: An entry into this field can be used as a short cut code to select the Dictionary
item.
• Load Hours: Diary load hours can be associated to a Dictionary item to aid
Workshop loading
• Invoice Hours: Invoice hours can be associated to the Dictionary item, data in this
field will be entered into the ‘Invoice Hours’ field during the invoice process.
• Cost: A value entered into the cost field is written to the invoice charge field during
the invoice process
• Labour Type: A dictionary item can be linked to specific skill set.
• Short Description: Text entered into this field will be displayed in the ‘Short
Description’ column when using the Dictionary.
• Description: Text entered into this field will be displayed within the ‘Operation’
section during the workshop process.
• Short Description: Text entered into this field will be displayed in the ‘Short
Description’ column when using the Dictionary.
• Customer Requirement: Text entered into this field will be displayed within the
‘Customer Requirement’ section during the workshop process.
• Contact Reason: A Contact Reason can be associated to a Dictionary entry. I.e. a
user defined date could be set up for air conditioning service etc. If a contact reason
has been linked to a dictionary entry when selecting an option from the work required
type pop up during the booking process this dictionary item will be designated.
However a Contact Reason can only be associated to one Dictionary item.
• Job Type: An appropriate Job Type should be associated to each Dictionary item.
When creating a Customer Requirement / Operation the Job Type will be populated
automatically.
• Work Required Type: The work required type is used to associate the dictionary
item to a work required type in CRM.
• Flagged For Parts: Selecting this parameter will send a pre - pick request to the
Parts Department.MOT Hours: The hours within this field will update the revenue and hours sold
reports within the end of day and the technicians awarded hours will also be updated
when the invoice is produced.
• MOT Cost: A value entered into this field is written to the MOT charge field during the
invoice process.
Note: The MOT Hours and Cost fields are only active when a Job Type of MOT has been
selected.
With the required fields completed select ‘Save’ to retain the new Dictionary item.
To edit a Dictionary item either double click or highlight the item and select ‘Amend’ to display
the ‘Dictionary Maintenance’ screen.
Make any changes required and select ‘Save’. Alternatively select ‘Cancel’ to return to the
‘Dictionary’ screen and undo any changes.
A ‘Dictionary’ entry can be removed by highlighting the required item and selecting ‘Delete’.
The following message will be displayed.
Select ‘No’ to return to the ‘Dictionary’ screen or select ‘Yes’ to remove the item.
