Question

How do I set up the Internal Transfer process within Pinewood DMS?

Answer  

Create a Purchase Ledger Account for the branch you want to purchase parts from.
To do this you (or your accountant) will need to go to;

Accounts > Purchase Ledger > Master Accounts
Click the Master Account tab
This will set you up a screen to create a new account
Enter the Branch Details to create the account and set the A/C Group to - Internal Ledger (or equivalent).

Having Created this, Click Save
The system will then prompt you to create a Transaction Account for this
You can Copy across the details and use the same account code if this is applicable.

Enter the remaining details in the Transaction Account and click Save.

Once you have a Purchase Ledger Account set up;
Go to:
Parts > Maintenance > Supplier Maintenance

Click Create

Here you can search a Purchase Ledger account to pull through
This will then populate as a supplier for this site
You will also need to mark this as an 'Internal Supplier'
There is a tick box to do this on the right hand side.

Once you have ticked Internal Parts Supplier,

You will need to select which Department this is supplying from by drilling into the box below and selecting a department from the Company Structure.

Click Accept

This supplier will now exist within your Department’s suppliers.

Once this has been done you will need to create a Sales Ledger Account for the branch you want to sell parts to.

To do this you (or your accountant) will need to go to:
Accounts > Sales Ledger > Master Accounts
Click the Master Account tab.
This will set you up a screen to create a new account
Enter the Branch Details to create the account and set the A/C Group to - Internal Ledger

Having created this, click Save
The system will then prompt you to create a Transaction Account for this.
You can Copy across the details and use the same account code if applicable. 

Just click Copy Details:

 

Enter the remaining details as seen below and click Save:

Once this is created, you then need to map this into the following screen for every branch (it is a two-way process so the departments will need to see each other)

To do this go to:

Parts > Distribution > Parameters > Internal Sales

Here you can search a Sales Ledger account to pull through
You can then also search the Department you wish this to be associated with

Once you are happy with this, click Add
This will then allow the site to 'sell' to other Internal Departments.

Once all of this process has been complete the sites will be able to look at each other’s stock within the invoicing screen.

They will also be able to Internally transfer parts between the two locations, using the Internal Transfer process.
