Question
How to produce a Parts Invoice without VAT?
Answer
This article will detail how to produce a parts invoice without including VAT on it.
First you need to find out the sales ledger account that you will be posting the invoice against. For this example we will use the CASHS account. Once you know your sales ledger account you can to go to: Parts > Parameters > Account Parameters and you will be able to view the account details. You may be able to amend the account from this screen in order to exclude tax however, sometimes it does not allow you to do so from this screen:
If you are unable to amend the 'excludes tax' box from this screen, you will need to go to Accounts > Sales Ledgers > Transaction Account and search for the account you need to amend. Within the Transaction Account tab click amend in the bottom right. You will then be able to tick or un-tick the 'excludes tax' box:
In order for VAT to not show on the parts invoices you need to have this field un-ticked. Once you have done this you can then proceed to process the invoice.
This is done in Parts > Sales > Invoice
Enter the account number that you are invoicing too and then enter the part number for the part to be invoiced.
You are able to select the price check button which allows you to view the parts price including VAT and excluding VAT. Whilst you are able to view the part including VAT in this screen, once invoiced the VAT will not apply. You can view this for the example part below:
You are able to view the Pre and Post tax values of the part once it has been accepted for the invoice within which you can see that the values remain the same due to this invoice excluding tax. This is shown in the below screenshot:
Once you are ready for the parts invoice to be processed, click invoice and this will display the invoice totals, which will not include tax:
If your figures are correct, press invoice, add your payments and click accept. You will be asked if you require a reprint of this invoice and then you will receive the invoice sheet upon which you will see does not have tax VAT included in the cost.
