๐Ÿ“ Closed/Retired Company Structure Rules

Within Accounts > Nominal Ledger > Ledger Parameters โ€“ Company Structure tab, the status a level of the company structure can be set to the three following options:

  • Active
  • Closed
  • Retired

The previous โ€˜InActiveโ€™ status has been changed to โ€˜Closedโ€™ and should be used to signify a closed dealership that is still owned by the dealer group. โ€˜Retiredโ€™ would be used when a business has been sold.

Additionally, there are now some restrictions when changing the status within the Company Structure. A location can only be changed from:

  • Active to Closed
  • Active to Retired
  • Closed to Retired

Once a location has been Retired, it cannot be changed to another status. Also, changing a locationโ€™s status will now apply to all of its โ€˜childโ€™ locations (any locations that sit under it within the Company Structure). The warning message will be presented before applying the change:

The ability to grant specific users access to the โ€˜Closedโ€™ or โ€˜Retiredโ€™ locations is now available by going to Administration > User Admin and searching for the user who requires access:

As above, on the Access Levels tab, two tick boxes have been added to give access to Closed or Retired locations. Once these are ticked and the user has launched a new session of the DMS, any Closed or Retired locations will be identified in the Company Structure selector with labels:

Please Note: Closed Locations will continue to display in DataPoint and BI Reports, as well as in Year on Year Comparisons within the Nominal Ledger Reports. Retired Locations will be excluded from all reporting.
