Within this screen, all service details relating to the vehicle are displayed, as well as system production approximations and previous service notes.
Several details are listed within this screen. These all display different information and some are used to form calculations, they are as follows:
- Vehicle Description β here the vehicle description is stated as make, model and spec
- Service Interval Miles β this value will state the amount of miles the vehicle should do in between services
- Service Interval Weeks β this value will state the number of weeks the vehicle should do in between services
- Last Service Date β this is the date since the vehicleβs most recent service
- Miles Last Service β this is the miles since the vehicleβs most recent service
- Next Workshop VisitΒ β if the vehicle has a Workshop visit upcoming, the date will be stated here
- Days Between Visits β this will state a value averaging out the vehicleβs days in between visits to the workshop
- Miles Covered β this figure will state the miles covered from the vehicles first visit to the workshop from the most recent
- Average Daily Mileage β this figure will state what the system calculates the vehicles daily mileage is from previous service entries
- Days Since Last Service β here is the vehicle number of days since the last visit
- Yearly Mileage β this figure will state what the system has calculated the vehicles yearly mileage is from previous service entries
- Calculate Current Mileage β here the system will use previous service entries to calculate the current mileage of the vehicle
- Calculated Next Service β Time β using previous entries, such as dates of previous visits the system will calculate when the vehicle will next be due for a service
- Calculated Next Service β Mileage - using previous entries, such as mileage recorded of previous visits the system will calculate when the vehicle will next be due for a service
- Maintenance and Warranty PlansΒ β if a vehicle requires a contracted maintenance scheduled this can be set up here
Below these details list each entry is displayed as an individual line, comprising the date of the invoice, the invoice number (displayed in the Reference column), the mileage on the vehicle at the time of invoice, the cost, and a description of the work completed. A green tick in the βServiceβ column indicates that the work completed was a scheduled service β a red cross indicates that the work was completed in addition to the service schedule. A green tick in the βFollow Upβ column indicates that the service was flagged for a follow-up contact.
A service history line can be double-clicked to view a copy of the workshop invoice that was issued, at this point the user will have the option to email the customer another copy or print the invoice. This option is only available on service history entries that have been added to the CRM record via activities completed within the Workshop department.
If a copy of the service history of a vehicle is required, select the βPrint Historyβ option from the bottom of the screen. A print preview is displayed on the screen.
Service history entries can also be added to a vehicle record manually by using the βHistory Updateβ option. Once this option has been selected, the screen displays several fields for completion.
The Service Details screen allows Variable Servicing to be recorded against each CRM Vehicle. It can be activated by selecting the βAmendβ option at the bottom of the screen and by ticking the Variable Servicing field.
Selecting the βVariable Servicingβ option allows the user to input the mileage for the next service and a calculated due date. Variable Servicing can also be recorded against the CRM record during the completion of a Workshop Invoice. Variable Service Audit Information can be displayed by double-clicking the Variable Servicing field.
If a customer marketing record is deleted, the vehicle marketing record will be unlinked and stay within the system. It can be accessed from the CRM > Enquiry screen by filtering the search with the vehicle details, it will store all service history recorded against the vehicle. If the Owner/Driver/Keeper is updated on the vehicle marketing record to a new customer, it will retain all previous service history and be available to view.
