📝 Adding Vehicle Alerts

The Vehicle Alerts parameter allows users to create an alert of any kind for any Vehicle (including vehicles not yet created within Pinewood DMS). These will then display during the Workshop Booking process to act as an alert/reminder to the user creating the booking. 

Firstly, a CSV file with the Vehicle Information, Alert Description, Account Code and expiry date will need to be created. This file should not contain headers.

A Registration Number or VIN of a vehicle can be used as the Vehicle Information. However, each file must contain either only Registration Numbers or VINs and not both as the system will ask users to specify upon uploading the file. 

Please Note: the Registration Number should contain no spaces.

The file should look as below:

And should be saved in CSV (Comma Delimited) format.

To import a Vehicle Alert File, go to CRM > Parameters > Communications > Vehicle Alerts:

If this Side Menu item is not available within the system, please contact Support who can enable this for you. 

Click Upload and at this point, the system will allow you to browse for your upload file and select if there are Registration Numbers or VINs used in the file.

Once your file is selected, click Full to upload.

This will then upload the file. This will display on screen as below if successful.

If at any point these alerts need to be deleted from the system, tick the Delete box next to the line and click Delete. 

Now, these alerts are created, when a user is creating a Workshop Booking using the Registration Number or VIN that matches in the file, upon clicking Accept on the below window;

A second pop up will appear with the Vehicle Alert List:

These act as reminders/alerts to the user creating the Workshop Booking. They are able to close the popup to continue with the booking or delete the alert if this is no longer relevant to the vehicle.
