An Aftersales Reminders parameter will be available based on access level to allow the Users to create their own User Definable Events.
This will allow users to create re-occurring events which can be used to generate a re-occurring revenue stream for the workshop.
Users will also have the ability to create non-reoccurring events, which when consumed will be removed from the CRM Vehicle reminder tab.
These new events can be automatically added to the CRM Vehicle record or can be manually added. Once the UDF events have added, they will follow the same rules as all other CRM Vehicle events.
To create a User Definable Event go to:
CRM – Parameters – Aftersales Reminders
Select the Add button and the following screen will be displayed:
- Description
- Must be a unique description
- Enable
- The UDF event can be created without ticking the Enable option
- When the Enable option is ticked and the record saved, you will not be able disable the event. It's important you only enable the events that you are going to consume.
- Recurring Event
- When this option is ticked it will automatically create the next event when the existing event has been actioned. If left unticked when the event is actioned it will not recalculate the next event date.
- Auto Create
- When this option is ticked, if the event has been enabled each time a CRM Vehicle is created the event will automatically be added to the record. If left unticked the UDF will have to be added manually.
- Default Interval Weeks & Default Interval Odometer
- The values entered into these fields will be used when calculating and recalculating the UDF event date.
- Recalculation (weeks or weeks & odometer)
- The value selected for this field will be used to recalculate the next event date using the existing calculation rules in the system.
- Vehicle Type
- You can set the Event for a single Vehicle Type or you can select All vehicle types. This will make the event available for selected vehicle types.
- Early Recalculation (Days)
- When a value has been entered into this field and saved, it will be used when recalculating the next event date.
Example: Early Recalculation = 10 days
- If the event was processed within 10 days of the event date. The system will use the event date to recalculate the next event due date.
- If the event was processed greater than 10 days of the event date. The system will use the date processed to recalculate the next event due date.
Vehicle Age Range
Once the UDF event has been saved you will be able to set up Vehicle Age range values. (if required)
The new option we have added to the UDF events for Vehicle Age Banding will allow Users more flexibility when creating and updating the UDF event.
An event with Vehicle Age bands allows the User to manage the event and control when the event should be made available to be consumed from the Aftersales Diary.
When Vehicle Age Ranges are set up the calculation & recalculation will ignore the values stored in the Default Interval Weeks & Default Interval Odometer fields and will use the values stored in the Vehicle Age Range rules.
Select the Add option to add Interval Rules
- Min Vehicle Age
- Max Vehicle Age
- Weeks
- Odometer
When the above fields are populated based on the CRM Vehicle age the values will be used to calculate and recalculate the UDF Event.
Validation Rule
When setting up multiple rules you must not have any crossover with Min and Max Vehicle Age fields.
Example:
- Min Vehicle Age = 1 month
- Max Vehicle Age = 24 months
- Weeks = 52
- Odometer = 12,000
- Min Vehicle Age = 25 months
- Max Vehicle Age = 36 months
- Weeks = 26
- Odometer = 6,000
Once the UDF has been saved if the Enable flag has not been ticked it will appear towards the bottom of the UDF list.
If the Enable flag was ticked it will appear towards the top of the list.
The enabled UDF events will be available:
- CRM Vehicle record
- Aftersales Parameters
- Aftersales Diary
- Various reports
- Workshop Jobs
Once the UDF has been created you can view the data.
