How do I setup the Service Advisor Diary?
Answer
The Service Advisor Diary is used to associate bookings and jobs to a particular advisor for a specific date and time during the booking and/or receipt process.
The first step to getting the Service Advisor diary is to enable this within Workshop β Parameters β Parameters β General 2;
You will then need to navigate to Workshop β Parameters β Service Advisors to complete the set up. The screen consists of three fields;
Service Teams
This section contains details of each service team and the number of minutes allocated per booking. To create a service team hit the add button at the bottom right of the section to open the edit window. Enter the name for the service team and the number of minutes that will be added to each booking slot and hit save. To amend or remove a team double click into the required team to open the edit window β you can change the name/booking slot time or use the delete button to remove. (Please note that if you have service advisors attached to the group you will get a message to alert you and it will not let you remove the team)
Service Advisor
Details of the individual service advisors which service team they are associated to and the advisors working hours. To associate Service advisors to a team that at the bottom right of the service advisors section hit the add button to open the βEditβ window;
Select the service advisor from the list of names on the drop down menu (this list will consist of users with the system role of service advisor who have access to the department you are in), Select the group from those set up above and then add the service advisors working hours including lunch time.
If you wish to remove or amend a service advisor then double click to open this pop up window, you can amend their group or timings and the delete button will also be active for them to be removed.
Holidays
To add a service advisors holiday single click on the service advisor you wish to add holiday for and hit add at the bottom right hand corner of the holiday section and it gives you an add holiday pop up;
Enter the start date and the end date. You can signify if the advisor is taking a half day of annual leave, you can remove annual leave by drilling into existing holiday and using the delete button. Once a holiday is added it will mark the service advisor unavailable for that time period and you will not be able to book against them.
