Marking Vehicle On Job Offsite

There are several occasions where you may have a vehicle booked in which requires external work completed by third party for instance. Or the customer may need the vehicle back temporarily for a short period (depending on the work and usability of the vehicle).

This is where the ability to mark as ‘Returned’ comes into play. This will help the aftersales controller maintain the workshop, by understanding the status of each vehicle and plan work ahead.

 

To use this functionality, it is quite simple. As you can see below we are currently on the Job Progress screen, and for demonstrating purposes we are using the job number: 54343.

Currently the job has been booked in and arrived into the dealership, however the status is ‘Not started’ as no work has been begun.

  1. To mark vehicle as offsite, start by clicking on any of the Operation. Click the 3 dots appearing right hand side of the operations.
  2. And now you have the option to click on ‘Returned’ as highlighted below. Please click on ‘Returned’.

Selecting ‘Returned’ will remove the little Vehicle icon against the job. This is used to easily identify if the vehicle has been received in to the workshop, or if the icon is no longer appearing this would suggest the vehicle is offsite.

In this scenario this would place the vehicle marked as offsite.

 

 

In the Job progress screen, you have the ability to filter out all vehicles which are either onsite or identify vehicles which are offsite, unavailable for technicians to work on.

To understand how to filter the vehicle status see below:

  1. If you now click on the filter icon top right. This will display additional tabs to display results of Job progress screen as you please.
  2. In our case please loot at Vehicle status and amend the option to ‘Off site’
  3. Finish by clicking the refresh icon to display the results.

 

As you can see drilling into the ‘Not started’ tab to locate Job number: 54343. We can view the Vehicle icon no longer appearing alongside the job.

This is also the same with any jobs displayed on this page as we are filtering vehicles which are not currently onsite.

 

Once the vehicle is available and back onsite for the technicians, you can drill into the same option and click ‘Arrived’. This will now place the vehicle icon back on and when filtering the vehicle status report this will no longer appear under ‘Offsite’ report.

  1. To mark vehicle as onsite, start by clicking on any of the Operation. Click the 3 dots appearing right hand side of the operations.
  2. And now you have the option to click on ‘Arrived’ as highlighted below. Please click on ‘Arrived’.
