Question

Why has a Technician not been awarded hours for a job that was completed?

Answer

If a job has been invoiced but the technicians have not been awarded hours despite clocking on to the job, the below scenarios detail what may cause this.

Cause 1 - Job has been invoiced before the technician has clocked off

If there is a technician that has clocked onto a job, and the clockings can be viewed but no time has been awarded, then look to the invoice and check the time stamp.

If an invoice is produced before the technician has clocked off, the system will be unable to calculate the hours to award as the technician has not completed the work.

To view the technician clockings, look within:
Workshop > Time Analysis > Reporting > Hours / Job Analysis Report

Then check the time stamp on the invoice. You can view this within: Workshop > Reporting > Repair Order Register. Search the job using the search fields. Click into the required invoice to view the invoice, see the time stamp.

If the Technician was still working on the job at the time of invoice, this will not have awarded the hours.

Cause 2 - Auto Award Hours Is Not Enabled

If the Auto Award Hours facility is not enabled, then hours will have to be manually awarded. To enable auto award hours navigate to:Workshop > Parameters > Parameters > General 2

If you chose to award hours manually, this can be done my enabling the:Enter Invoice Hours After Invoice parameter. This can be found within: Workshop > Parameters > Parameters > General 1

This will prompt when completing invoice to add hours for the technicians.

You can also add or amend hours within:Workshop > Time Analysis > Award Hours screen.
