How to set a TOS to Trade

Firstly you will need to set up the "Trade" type of sale.

Vehicles - Parameters - Vehicle Data

Select the Type of Sale Details box

click the New tab at the bottom of the screen.  

 

Add the group into the description box and click save

Now you can set the Parameters of the Trade TOS.

Select your Trade Sale type - now enter all details as per below 

Once completed all details click save.

Please note your Sales Analysis codes and Cost of Sales codes will differ depending onsite you are setting up.

Description: This is the name of the type of sale you are creating that will show in the drop down in the customer order

Type of sale group: This is used to attach your type of sale to the groups you have previously set up

Debtor group: This allows you to report on different debt types, these can be added to or amended via the vehicle data parameters

New/Used: This allows you to assign whether this type of sale is available for new or used vehicles only, alternatively you can set this as both.

Exclude VAT: If this is set to yes any deals this type of sale is used on will not have any VAT attached to it.

Tax Type: When choosing 'Yes' to exclude VAT it will then all you to choose form the drop down filed for tax type. This will then give you the option to choose from exempt, out of scope and zero.

Tax category: This will apply the correct tax category to the deal allowing for accurate reporting. These categories are set up in the nominal ledger.

Demo/Courtesy cars must have a Tax type set to internal

If this is set to internal, when doing a dealer transfer this will trigger the internal dealer transfer routine (covered in another article)

Trade sale: This parameter drives how the deal is categorised when looking in the deal book. If this is ticked it will show as a trade sale but if it is unticked it will show as a retail sale.

Corporate: Only applicable for BMW dealers

Demonstrator: Only applicable for BMW dealers

Datapoint sales group: This will dictate how the deal is reported within any datapoint reports.

Invoice style: This is where the name of the invoice header can be entered if you would like to use different invoice headers for different types of sale. This can be useful for multi franchise dealers. Any left blank will use the default set in the sales ledger.

Margin %: This can be used to limit what types of sale are available based off the margin discount held against the vehicle specification in the new vehicle price list. The customer order page will only display any types of sale where the discount percentage on the price list is equal to the margin percentage set here.

Internal sales: This is used in conjunction with the tax category but this will mark the deal as an internal sale if this is set to yes.

Sales Analysis Codes

Vehicle: the basic vehicle price plus options from the customer order will credit this code when a vehicle invoice is raised (this should be a profit and loss code)

Delivery: Any delivery charge attached to the customer order will credit this code when a vehicle invoice is raised

VED: Any VED or RFL on the customer order will credit this code when a vehicle invoice is raised

Cost of sale analysis codes

Vehicle: The basic cost of the vehicle plus any options on the customer order will debit this code when a vehicle invoice is produced

Delivery: The manufacturers delivery cost will debit this code when a vehicle invoice is produced

Discount: If any discount has been applied on the customer order of a new vehicle this code will be debited when the vehicle invoice is produced

Over allowance: This code is debited when you receive in a part exchange as part of a customer order if the SIV is lower than the purchase price.

VED: Any VED or RFL on a customer order will debit this code when the vehicle invoice is produced.

Profiles: You can use profiles to limit what types of sale come up when in the customer order. If you enter one or more profiles against the type of sale it will only appear if the vehicle you are doing a customer order for has one of the profiles specified. Please note this option works per profile, any vehicles on a profile not specified in here will still be able to see all types of sales.

Dimensions: allows a user to associate any active Dimensions to a Type of Sale.
