This report is used to view the status of sales ledger accounts. The screen below is displayed, populating the top of the screen with search and display options, with the returned report populating the lower section of the screen:
The report can be configured to display accounts that are over the credit limit specified on the transaction account, accounts that are on stop, or accounts that are considered overdue by the two criteria, the account balance is overdrawn (greater than zero) and there are overdue invoices still on the account. Once the required option is selected, click on the ‘Transaction Account’ option at the bottom of the screen.
The information above is displayed in the lower section of the screen, displaying the sales ledger accounts that fit the criteria specified in the top section of the screen. Accounts that are over their credit limit are displayed and will show which of these are also on stop or overdue.
Once the report is generated, the ‘Stop Accounts’ option appears at the bottom of the screen. This option is used to put sales ledger accounts on stop en masse. A new window is displayed as shown below:
There are three different options available. To place all the accounts on stop, click in the field displaying the red cross. A green tick will be displayed. Select the ‘Confirm’ option to save the changes. Alternatively, select the ‘Cancel’ option to exit from this screen.
The first option allows all accounts with overdue invoices regardless of the account balance to be placed on stop, the second is used to stop all accounts that have exceeded their credit limit and the third option is not currently in use, as accounts are already automatically updated to ‘Overdue’ status by the system.
Once on stop, sales ledger accounts can be re-activated in two different ways. ‘Account Maintenance’ on the left hand menu can be used to access an account and remove the ‘On Stop’ tick against it alternatively, receipting payments through the cashbook against a sales ledger account that is currently on stop will prompt to take the account off stop.
The ‘Print Report’ option can be used to print a list of the accounts.
