To set up the demonstration diary there are a certain amount of parameter set up to be carried out before the Demonstration Diary can be used
These can be accessed in:
CRM > Parameters > Demonstration Diary
Unavailable Reasons
These would be the reasons as to why a demonstrator vehicle may be needed to be made
unavailable to the sales team to book, for example, a vehicle maybe being serviced, or is in
the workshop for repairs. Click ‘Add’ to create reasons.
Demonstration Car Turnaround
This is the time, in minutes, that will by default be added on to the end of a booking to allow the
vehicle to be prepared for the next demo.
Default Demonstration Duration
This is the length of time, in minutes, that the demo will be booked for by default. The duration of
the demo can be changed at the time of booking.
Working Hours
Start and end times need to be entered – these will be the times that the demos are available
between each day.
Click ‘Add’ to search for a vehicle to add to the diary. The search is one of the CRM database,
therefore the vehicle must exist there to add it into the diary.
Note: A CRM record will have been created from a stock record as part of the demonstrator routine or if the vehicle has had an internal workshop request.
Once the vehicle has been selected the following window will be displayed and the start and
end dates should be populated – it is between these dates that the vehicles will run as
demonstrators and be available to book.
The Unavailable Dates page is used to make the vehicles temporarily unavailable for demos.
Unavailable vehicles can also be viewed and their unavailability extended from this page.
To make a vehicle unavailable, click ‘Add’ at the bottom of the page and double click the required
vehicle. The following page will be displayed to enter the details of when and why the vehicle is
unavailable.
To extend or amend the unavailability of a demo, search for the vehicle using the Unavailable
Dates field – double click the vehicle or single click and click Extend. This will re-open the
page shown above to amend any details.
When adding a future contact for a customer, the activity of Demo must be ticked if a demonstration is to be booked.
