Question
How to raise and cancel a vehicle invoice?
Answer
Within Vehicles β Invoicing β Invoice
Search for the required vehicle and double click into this to view the invoice page
The top portion of the screen will give a brief invoice summary.
The bottom left portion of the screen will give the invoice details.
Invoice date: The date the invoice will be against. This can be future dated by 14 days.
Period: This is driven by the invoice date if this is future dated or the period gone into via the company structure if back dated.
Registration number: Registration attached to this vehicle
Registration date: The date the vehicle was registered
Mileage: Up to date mileage of the vehicle
Deposit paid: How much deposit is against this deal. Clicking into the box will allow a new deposit to be take or for the deposit to be viewed.
Finance due: Balance due from the finance company
Service interval miles/weeks: How many miles or weeks until the next service is due.
On the bottom right hand side the customer the invoice will go to can be viewed and changed. Using the invoice number tabs will allow different customers to be associated to different invoices.
The customer can be changed by clicking into the box and pressing the search button. This will then bring up a CRM record search box and any amendments can then be saved.
Pressing Invoice will then invoice out the vehicle and give print and email options.
If the vehicle invoice needs to be cancelled for whatever reason the vehicle must still be on a status of invoiced. If the vehicle is finalised or archived this cannot be done.
Go to Vehicles β Invoicing β Cancel
Find the required vehicle and double click into it.
The following pop up box will appear.
This pop up will give a brief vehicle detail as well as the invoice details. Any part exchanges will show here also with a flag of whether the vehicle is in stock or not. If the part exchange is in stock it will not allow the invoice to be cancelled.
Pressing cancel invoice will ask if you are sure. Pressing yes will complete the process.
