The stock list function displays less information to the user than the Full Detail stock list,
however the printed report tends to be much smaller and more manageable as a result of this.
As in the case of the Full Detail stock list, the Stock List can have numerous different filters
applied to enable users to limit the stock displayed by the report.
Most of these are similar to those available in the full detail stock list – the largest difference is
in the style of display.
Reports can be specified to display new or used vehicles at different locations or with different
profiles via the tabs on the top right hand side of the screen. Subject to user access levels,
different divisions and branches can also be specified. In the case of New vehicle stock being
specified, the status of vehicles to be displayed may also be selected if required.
The report type can be used to change the main display type of the report – select an option
from the drop down menu:
Select ‘Aged’ to display the vehicle stock banded into groups by age – the bands displayed are
0-30 days, 31-60 days, 61-90 days and 91+ days:
A summary of SIV’s and units is also displayed at the top of the report.
‘Full Detail’ displays similar results to the main Full Detail stock list if this option is selected.
‘Short Form Report’ is the option most commonly selected.
In conjunction with the other filter fields at the top of the screen, the short form report displays a single line summary for each stock vehicle which can be used to access the vehicle stock card.
New Vehicle Stock List:
The columns on the Short Form report display the stock number, vehicle detail, colour,
transmission, registration number, status, profile (R refers to Retail, T refers to Trade and so on) and selling price.
The CO column refers to Customer Order – a green tick indicates that a customer order has
been created on the system for that vehicle. The ‘Ph’ column refers to the number of photographs currently held against the stock card, up to a maximum of 40 images per vehicle.
The final ‘SP’ column displays a green tick once the vehicle creditor has been cleared down to
zero via the raising of Cash Book payments (please refer to the Pinewood DMS Accounts Guide for
information on this process). A vehicle that is yet to have costs confirmed also displays as
supplier paid – the creditor balance on these vehicles is zero due to no creditor balance yet
having been created. In the example above, the Purchase Information filter has been selected
so two extra columns are included – the SIV and DIS (Days in Stock).
Used Vehicle Stock List:
A Used Vehicle Stock list includes a column to denote whether the vehicle is a VAT Qualifier
(Q) and, if the video functionality is enabled, a column that indicates whether a video has been
uploaded against the stock card. In the example above, the Purchase Information filter has
been selected so the SIV and DIS (Days in Stock) is also included.
The final report type available for selection is the ‘Summary’ type. Selection of this option
displays a financial summary of the vehicle stock held on the system broken out according to
financial status (Adopted, Consignment or Not Confirmed) – as shown below:
The final display options are discussed below:
‘Stock Days More Than’ can be completed by the user to set the report to only display vehicles
that have been in stock more than the specified number of days.
Tick the ‘Purchase Information’ box to display an extra column on the report, containing the
vehicle SIV. This option is available dependent upon user access to the vehicle module.
‘Vehicle Options On Print’, if selected, will display options stored on the vehicle stock card when
the stock list is printed out.
‘View Pipeline Orders’ can be selected if the user wishes to have supplier orders displayed on
the stock list.
‘Exclude Customer Orders’ can be used to suppress the display of vehicles that have had
customer orders raised against them.
