How to approve customer orders?
Answer
To enable Customer Order Approvals go to: Vehicles > Parameters > Parameters and select Customer Order Approvals in the 'Parameter Type' field.
Once this parameter has been enabled, the customer orders that have been created via the desired vehicle page of the customer record in CRM will need to be approved before they can be invoiced, and such orders will have a status of Awaiting Approval.
To approve a customer order that is awaiting approval go to: Vehicles > Customer Orders > Amend:
Search for the required customer order using the fields shown above and double click on it to select.
The customer order will display with the status at the top of the screen with an 'Approve' button at the bottom:
The order can be amended and saved as normal, leaving the status as 'Awaiting Approval' otherwise, the customer order is approved by clicking the 'Approve' button. This will change the status to 'Approved'.
Customer orders that are awaiting approval can also be approved via the Customer Orders report: Vehicles > Reporting > Vehicle Sales > Customer Orders:
Before creating the report, change the Approval filter to 'Awaiting Approval' as shown above. All orders waiting to be approved will be displayed on the report:
Double click on a line to open the customer order. The order can be approved from here without the need to go through the customer order process.
Once an order has been approved, the salesperson selected on the customer order will be informed via email, providing their email address has been set up against their user account. All customer order approvals will also be recorded in the stock card amendment audit, which is available on the vehicle stock card within the 'Amendments' tab.
