I am unable to invoice vehicle due to a message saying: 'Is this Vehicle a Cherished Transfer?' - How do I resolve this?
Answer
If you receive the message "Is this a Cherished Transfer?" when invoicing a vehicle, this means that a vehicle with that registration exists in CRM but isn't linked to the stock card you are invoicing.
Unless this registration is a cherished plate, you will not be able to continue until you have dealt with this, this prevents duplicates being created in the system.
A reason this can come up in the first place is because when the vehicle was originally brought into stock, there is a search where you can find existing vehicles to bring into stock, this will have been cancelled.
When invoicing a vehicle, unless it has been to the workshop previously, Pinewood DMS will create a CRM record for the vehicle and attaches it to the customer that is buying the vehicle.
To avoid the 'Is this a Cherished Transfer?' message you have two options:
The recommended method would be to reverse the vehicle deal out of stock and delete the supplier order. Then create the order again ensuring that when you get the option to search for a vehicle, you select the existing record.
Alternatively, if you cancel the Vehicle Invoice routine and within the same session of Pinewood DMS go to CRM - Enquiry and search to find the existing vehicle record. You can delete this record and the invoice process will create another.
If there are two CRM Records returned in the search for the same vehicle within CRM > Enquiry, you will need to ensure you delete the record that is not associated with the stock card that you are attempting to invoice. To check this drill into the record and check the Stock Number field:
If this matches the stock number you are attempting to invoice, go back to the CRM > Enquiry search and select the other record that is not associated with the stock card you are invoicing - this will need to be the record that is deleted to proceed with the Invoice process.
Please Note: any service history on the deleted record will not transfer over and this will have to be added on manually to the record you are keeping.
