What does the Time Analysis Report show? 

Answer

The time analysis reporting function displays the hours attended, worked, idle, chargeable and non-recoverable, as well as the utilisation, efficiency and productivity of hours for the department and broken down for individual technicians. 

To access the report, you will need to go into Workshop > Time Analysis and select the Time Analysis Report tab. 

To generate the report simply select a date from and to and click generate:

The three icons along the right hand side of the screen allow you to:

To view specific technician details for the selected date range, double click into the technician line to display a day by day break down, double clicking on a particular days line to view further detail for this date:

 To return to previous reports from this screen, you may select the mceclip7.png button in the top right corner or simply select the screen you'd like to go to from the tree structure.

 

Below we will cover the calculations used to populate the time analysis report: 

Attended hours: 

For this calculation the system will firstly check if any hours have been posted against the technicians, this will be checked in: Workshop > Time Analysis > Post Hours 

If no hours are posted here, the system will then look at any manual amendments to technicians start and end times, within: Workshop > Reporting > Time Management > Attendance > Amendments Tab, and use any changes as the technicians attended hours. 

Finally, if no amendments have been made on the attendance report and no hours have been posted, then the system will populate the attended hours based on the clockings of the technician. These can be seen in: Workshop > Reporting > Time Management > Clockings

Worked Hours: 

This figure is based on all of the time spent clocked on to the workshop jobs for the selected date range. 

Idle Hours: 

This is calculated from the Allowed Idle + Non-Allowed Idle - In house Training Reason (This is found in: Workshop > Parameters > Parameters > General 2 tab)

Chargeable Hours: 

Chargeable hours are based on the total awarded hours for the selected date range. 

Non - Recoverable Hours:

This calculation is based on the Worked Hours - Chargeable Hours for the date range selected. 

If this is a minus figure, a zero will be displayed. 

Utilisation: 

Depending on whether a technician is set as an apprentice or not, two different calculations can be used: 

For a technician, this is based on:  (Worked Hours / Attended Hours - In House Training))*100 

If a technician is set up as an apprentice, the calculation will be as follows: (Worked Hours / (Productive Hours - In House Training Time)) *100

Efficiency: 

This is based on the (Chargeable Hours/ Worked Hours) *100. 

If this is a minus figure, a zero will be displayed. 

Productivity:

Depending on whether a technician is set as an apprentice or not, two different calculations can be used: 

A technicians productivity is calculated from: (Awarded Hours - In House Training Time))*100 

For an Apprentice this would be based on: Awarded Hours / (Productive Hours - In House Training  Time)) *100

If an apprentices attended hours are lower than their productive hours for the day, attended hours will be used instead. i.e. (Awarded Hours / Attended Hours - In House Training Time))*100 

If any of these calculations result in a minus figure, a zero will be displayed.
