Within ‘Workshop Issues’, ‘Workshop Orders’ and ‘Estimate Requests’ the option to view and add conversational notes and documents is available as well as the ability to review any videos linked to the workshop booking / job.

If any activities are available to view the icons will change colour to green.

Manage Videos

Within the video player window the video can be reviewed.

 

Manage Documents

Within the documents window documents can be viewed and emailed.

Conversation

Conversation allows the recording of job related notes which are then archived with the invoice.


Within the window additional notes can be added.

Additional notes and information can be recorded and emailed to other users by selecting the ‘To’ option, a list of people who have access to the branch / workshop will be displayed.

If an email has been sent whilst recording notes the following icon is attached to the conversation.

The number displayed on the icon denotes the number of email recipients, a list of recipients can be displayed by clicking on the icon.

Alternatively notes can be sent to the customer by selecting the “Send Message to Customer by SMS” option. Once notes have been recorded the user can see if they have been sent to the customer via SMS by the mobile icon being present.

Hovering the mouse over will reveal the number that the SMS was sent too. Notes that contain SMS messages are also recorded in the customer contact history.

The SMS function is not available when the following rules apply:

  • The SMS usage has been exceeded 
  • The customer record does not contain a mobile phone number
  • The customer does not want to receive SMS messages so the SMS contact method has been turned off.

Where a customer replies to an SMS message Pinewood DMS will check to see if there are any open workshop jobs with a the same mobile number and add the reply to the conversation.
