Reconciling the parts valuation to the stock nominal code requires checking certain reports within Pinewood DMS.
For each parts product group, there will be a stock nominal code. If there is multiple parts departments in the same accounting division, you will need to check the codes for each department to ensure the two departments aren't hitting the same nominal code. If the two departments are hitting the same code, the two departments will need to be reconciled at the same time.
Firstly, you will need to get the product group nominal codes. You can obtain these by going to: Accounts > Nominal Ledger > Ledger Parameters and double-clicking product groups, from here press export and you can view all of the stock nominal codes from the Microsoft Excel document. Ensure that you are in the correct department when you export this so the codes are correct.
Next, you will need to get the values from three reports. These need to be gathered outside of trading hours or the values may change and therefore won't match.
Report 1
Parts > Reporting > Valuation > Valuation - 'Valuation Report' tab.
You will need to take the total average cost for each product group.
Report 2
Parts > Reporting > GINR
You will need to take the product group totals from the bottom half of the screen.
Note* this report may be blank if negative stock isn't used, this is fine and will work the same.
Report 3
Workshop > Reporting > Work In Progress
Use the product group summary (excluding any non-parts product groups) to obtain the cost value.
Once you have all these figures, you will need to do the following.
(Valuation report + WIP report) - GINR. These values should match the nominal code balance for each product group.
To make this easier and more accurate, you can track the values in Excel, as demonstrated below.
If the reports don't match, you should check the following:
1. Make sure that no journals have been done manually to the nominal code.
2. Make sure no average cost amendments have been made, you can check this by exporting the amendments audit.
3. Make sure you are not using the stock nominal somewhere else in the system by mistake.
If the issue still persists, write off the difference and contact support to see what is causing the variance.
